Make sure your Member is set up to receive Text messages.
On the Member Details Page under the Contact information, enter your client's cell phone number and check the box next to 'Enable SMS Alerts'.
Section I. - Sending text messages
On Demand to one Member
1. Text messages can be sent to a member on demand from Quick Functions -> Members. Find the member by entering the last name and Search. In the Actions column, click the link 'Send SMS'.
2. You can select a template or just start typing. Remember - you are limited to 160 characters. This is the industry standard. Spaces count as a character. Watch the character counter as you type.
3. When you are happy with your text, click 'Send'.
On Demand to a group of Members
1. From Quick Functions -> Members, determine the group of members you are texting. You can use the Member Type to define groups such as Corporate, Youth, and Silver Sneakers for example. You can use your Categories to break them down even further. If the Member Type is Youth, select from one or many categories like Basketball, Advanced Tennis, Swim Team etc.
Or send a mass text to all Active Members or all Inactive Members.
2. Once you have determined your audience, click the icon for 'Generate Mass Text'.
3. Again, you can either select a template or just start typing and send.
Section II. - Creating SMS templates
1. Navigate to Functions -> Marketing -> SMS.
2. Use the drop down to select 'Add SMS Template'.
3. Enter an SMS Description, enter your message, then click 'Continue'.
4. You have the option to set the text up as an Auto-SMS.
- The Auto SMS can be set up to send Monthly or Weekly. If you choose Monthly, you can select the day of the month, 1st through the 28th. If you send it Weekly, you will select the day of the week, Sunday - Saturday.
- You will select the time of day the text will be sent.
- Select your audience, Guests, Active Members, Inactive Members or Prospects.
- Enter an Expiration date. If it is an ongoing text, leave the field blank.
5. Set up your text message as a *Drip text.
- The drip text is set up to send after an action happens in Shape. For example, you can send a drip text message to new members who just purchased a membership or service. Start marketing to your Prospects right away by texting them after they've been added to your system.
- It's considered a drip because a constant flow of marketing material is sent to customers over a period of time. For example, you would set up the 1st text to new Prospects on the same day they are added, the next text, 3 days later and another 7 days later. You determine the interval and length of the campaign.
- Each day a text is sent, requires its own text message. If you are setting up the campaign to send Prospects 3 text messages, you will add 3 templates.
*Note: Drip SMS must be scheduled at a specific time of day to be sent. Please submit a support ticket to Support@shapenetsoftware.com to have the time enabled.
Section III. - Receiving Text Messages
Text messages can be managed from a report found under Reports -> Marketing -> Text Management.
- The report displays text messages sent to the member including Scheduled Appointments. New messages will display as (new) until they are read.
- Members will reply to their text messages the same way they reply to any text message. Their replies will also display on the report.
- If you need to respond to their text message, click the 'Messages' link and at the bottom of the form, select a Contact Result, enter your message and Send.
