What does it mean when a drop down shows Tools/Field Definitions?
This means that the list is customizable.
Anytime you see this in a drop down, navigate to Tools>>System Settings>>Field Definitions. There are several lists that can be customized. The options are listed below along with a short description of what they can be used for:
Admin Groups - group admins together. For example, front desk, manager, full security. Benefit - easily update security based on the admin groups.
Building - allow members to choose a building location when signing up online. Enable this under tools>>system settings>>non-member settings>>show building. Useful for facilities that are located within apartment building or condominiums.
Class Categories - group like classes together. Useful for members when viewing the class schedule to filter on a type of class. For example, yoga will include all yoga classes - beginner, advanced, etc.
Education Groups - group like education documents together. If you offer a nutrition program, you can provide education documents online for members.
Fitness Program - Used to add a fitness program on the member billing page, under health insurance. This field can be used on the member checkin details report to show members in the same fitness program, such as Silver Sneakers.
Gift Card - Income Category - allows you to assign an income category to be used for gift cards. When a gift card is purchased through Shape, this will be the category assigned on the financial transactions. This choices pull from the income category list. Income Categories - Set a list of choices for income categories assigned to memberships, services, retail items, and gift cards. For more information on income categories, click here.
Member Types - group like members together for sending mass emails/sms, or reporting on checkins. Examples - students, military, silver sneakers. You can filter on the member type when searching for members or running the member checkin details reports. Benefits - send SMS/emails to only student members at the start of the summer. Pull checkin details for members in a specific insurance program.
Membership Categories - group like memberships together for easier sales processing. Example - Individual Memberships, Family Memberships, Discount Memberships.
Member Subtypes - a sub category of member types. You can sub-categorize your Insurance members as Active Fit or Silver Fit and have your Member Type be Insurance.
Primary Goals - allows you to add a goal to a member and is a filter when searching for members.
Product Categories - group like retail items (point of sale items) together. Example - Beverages, Food, Clothing.
Referred By - populate list of referral choices when adding a new member.
Service Categories - group like service packages together for easier sales processes. Examples - Class Packages, Personal Training Packages.
